We are seeking a highly organized, proactive, and resourceful Executive Assistant & Business Manager to support our Chief Product Officer (CPO).

This hybrid role operates at both a tactical and strategic level—blending executive-level administrative management (including calendar management, travel coordination, and meeting support) with business operations and project coordination (such as tracking priorities and facilitating cross-functional communication). The position ensures the CPO’s day-to-day operations run seamlessly while helping to advance critical organizational objectives. The ideal candidate combines exceptional organizational skills with strong business acumen, thrives in a fast-paced environment, anticipates needs, connects the dots across teams, and ensures alignment and follow-through on priorities.

WHAT YOU'LL DO 

Executive Support:

  • Manage complex and dynamic calendars, scheduling meetings across time zones and functions to optimize the CPO’s time and priorities.
  • Coordinate domestic and international travel, including itineraries, agendas, logistics, and meeting briefings.
  • Prepare and process expense reports accurately and in a timely manner.
  • Support meeting preparation, including agendas, briefing materials, pre-reads, and presentation decks.
  • Attend select meetings to capture key notes, decisions, and follow-up actions, ensuring accountability and follow-through.
  • Serve as the primary point of contact for the CPO, triaging and prioritizing incoming requests, emails, and meeting invitations.
  • Manage the CPO’s “rhythm of business” (e.g., leadership team meetings, 1:1s, quarterly reviews, and offsites).
  • Partner with other Executive Assistants across the leadership team to coordinate schedules, joint meetings, and company-wide events.

Business Management & Strategic Support:

  • Support the execution of key Product organization initiatives by tracking action items, timelines, and deliverables.
  • Help align the CPO’s priorities with broader organizational goals and ensure visibility across teams.
  • Prepare materials, summaries, and presentations for executive, customer, or board-level meetings.
  • Act as a connector across Product, R&D, Marketing, Sales and other teams to help streamline communication and coordination.
  • Provide light project management support for select initiatives and ensure key decisions are followed through.

WHO WE'RE LOOKING FOR

  • 5+ years of experience as an Executive Assistant supporting senior leaders in a fast-paced, global organization; experience supporting Product or Technology executives preferred.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent communication skills—clear, concise, and confident in working with senior stakeholders.
  • Demonstrated ability to manage sensitive and confidential information with discretion.
  • Proactive, adaptable, and capable of anticipating needs and resolving issues before they arise.
  • High proficiency in productivity and collaboration tools (e.g., Microsoft Office, Excel).
  • Strong problem-solving skills and ability to connect the dots across teams and initiatives.
  • Bachelor’s degree or equivalent experience preferred.
