PSA email servers

PSA can automatically generate and send notification emails to PSA team members and customers. It can also receive incoming emails, and convert them to PSA tickets.

There are three PSA email servers:

  • The outgoing email server sends notification emails to customers and to PSA team members.

For more information, see PSA notification emails and templates.

  • The invoice email server sends invoices to customers.

  • The incoming email server parses and converts incoming emails into tickets, and assigns these tickets to the relevant user or company.

For email server configuration instructions, see Configuring PSA email servers.

PSA email server protocols

The two outbound PSA email servers can have the following protocol types:

  • SMTP (default)

  • Exchange

  • Office365

The inbound PSA email server can have the following protocol types:

  • IMAP (default)

  • Exchange

  • Office365

For an Office365 protocol type, the system uses the current browser session to detect if you are already signed in to a Microsoft Office365 MFA account. If you are, it activates the integration with the email details of that Microsoft account. If you are not, it asks you to sign-in.

In this way, there is a possibility that you inadvertently activate the server integration for an incorrect account. To avoid this, sign out of your Microsoft account before activation.

PSA email server use of Secure Sockets Layer (SSL)

The PSA email servers can optionally use SSL to encrypt email messages during transport.

SSL is only supported in these scenarios:

  • Secure (TLS) - StartTLS - Port 587

  • Secure (SSL) - SSL - Port 465
